Van as a Warehouse: How to Track Mobile Inventory in WMSBIZ
Discover how hybrid distributors and field services use WMSBIZ to track inventory on the move, turning delivery vans into smart mobile warehouses with zero operational overhead.
Van as a Warehouse: How to Track Mobile Inventory in WMSBIZ
For many B2B wholesale distributors, inventory doesn't just sit still on high-bay pallet racks in a centralized distribution center. It travels.
Whether you operate a fleet of delivery vehicles, run a "van-sales" model where drivers sell directly to merchants on-site, or manage field service engineers who carry high-value parts, tracking mobile stock is a notorious headache.
In this case study, we look at how one of our distributors successfully implemented a "Van as a Warehouse" strategy using WMSBIZ—and how they keep their inventory 100% accurate on the move without overcomplicating their day-to-day operations.
The Challenge: The Fleet Black Box
Our customer, a fast-growing B2B electrical and lighting distributor, operates a central 15,000 sq. ft. warehouse alongside three transit vans. These vans are loaded every morning with inventory to fulfill local commercial orders and support direct sales to contractors on-site.
Before WMSBIZ, the vans were an inventory "black box."
- Stock was deducted from the main warehouse the moment it was loaded onto the van.
- If a customer cancelled an order or returned a part, the stock sat in the van, unaccounted for in system totals.
- Drivers had no real-time visibility into what stock was currently in their vehicle, leading to double-selling and missed sales opportunities.
The business needed a solution that treated each van as an independent stock location but didn't require drivers to manage complex grids of rows, shelves, and bin codes on a mobile screen.
The Solution: A Hybrid "Transit Warehouse" Model
With WMSBIZ, the distributor set up a streamlined multi-warehouse structure:

Step 1: Defining the Mobile Warehouses
Instead of listing only their physical building, they added their vehicles as warehouses under System Settings:
- Warehouse 1: Main Warehouse
- Warehouse 2: Delivery Van 1 (Ford Transit - Registration XY76 ABC)
Step 2: The "Single-Bin" Placeholder Trick
Traditional warehouses require deep hierarchy layouts (Row A -> Shelf 2 -> Bin 4). Because a delivery van is essentially one open space, they bypassed this complexity:
- They created a single location inside the "Delivery Van 1" warehouse.
- They left the Row Code and Shelf Code fields blank.
- They named the Bin Code simply:
Van 1 Stock.
This simple workaround created a single, unified bucket for all inventory on that vehicle.
How It Works in Practice
1. Morning Replenishment (Stock Transfer)
Every morning, the warehouse staff picks replenishment stock from the main warehouse shelves. Instead of marking it as "sold," they perform a Stock Transfer inside WMSBIZ.
Using a mobile barcode scanner, they scan the product SKUs and transfer them:
- From:
Main Warehouse(e.g. BinA-02-14) - To:
Delivery Van 1(BinVan 1 Stock)
The transfer is logged instantly. The main warehouse stock decrements, and the van’s virtual inventory increments.
2. Live Mobile Inventory Checks
On the road, the driver can log into WMSBIZ on a mobile phone or tablet to view exactly what stock is in their vehicle. If a customer asks for an extra reel of cable, the driver can check their phone, confirm it is in the van, and sell it immediately.
3. Fulfilling Orders from the Van
When an order is completed, the driver fulfills the order in WMSBIZ. The system picks the inventory directly from Van 1 Stock to complete the transaction. Stock levels are updated in real-time, preventing the system from promising the same item to another customer.
The Results: 99.4% Stock Accuracy
By implementing the "Van as a Warehouse" strategy, the distributor achieved remarkable results:
- No more phantom stockouts: Office administrators can see exactly where every product is, whether it's on a shelf in the distribution center or on a highway in Van 2.
- Streamlined end-of-week audits: Drivers perform a quick "stocktake check" on Fridays by scanning the remaining items in their van. Discrepancies are flagged and resolved in minutes rather than weeks.
- Enhanced customer satisfaction: Delivery drivers can confidently swap or add items to an order on the spot because the WMS handles the paperwork automatically behind the scenes.
